How Much Does AI Automation Cost for a Small Business?
It is the first question most owners ask, and the honest answer is: it depends on what you automate. But the cost always comes from the same three places, and once you know them you can judge any quote, including ours.
1. The build
This is the one-off work: mapping how the task is done today, connecting your tools (phone, inbox, calendar, CRM, accounts), writing the AI instructions, and testing it against real situations. A single, well-defined automation, like replying to every new lead in seconds, is a small build. A system that touches several tools and has lots of edge cases is a bigger one.
2. The running costs
- AI usage: modern models are cheap per conversation, often a fraction of a penny for a short chat
- Phone numbers and call minutes, if it answers calls
- Messaging fees for WhatsApp or SMS
- Any software subscriptions the automation relies on
For most small businesses these monthly costs are small next to the time they save. A good provider will tell you what they are up front.
3. Your time
Someone has to explain how the business works, check the first versions and say what feels right. Expect a few short calls, not weeks of meetings.
How to tell if it will pay for itself
- Hours: how many hours a week does the task take, and what is an hour of that person worth?
- Missed money: how many enquiries a week go unanswered or get a slow reply, and what is a new customer worth?
- Mistakes: what does it cost when something gets forgotten or typed in twice?
If those numbers add up to more than the build plus a year of running costs, it is worth doing. If they don't, it isn't, and you should be told so. You can get a quick estimate with the leak calculator on our homepage.
What to watch out for
- Long lock-in contracts for something you cannot switch off
- Quotes that do not separate the build from the monthly costs
- Generic bots that are not set up around how your business actually works
At DaysBack every project starts with a free 27-minute strategy call, then a fixed quote before any work starts, with no lock-in contract. If an automation will not pay for itself, we will tell you before you spend a penny.
